Body and Mind Therapy:
Terms and Conditions
Body and Mind Therapy aims to provide welcoming and quality yoga classes, courses and workshops. The environment will be an inclusive and supportive one. Whilst this will always remain the case, it cannot be ignored that Body and Mind Therapy is a small business and as such it needs some terms and condition in place. Please consider the following when you book classes, courses or workshops including if you buy a class pass. Please get in touch if you have questions, and we will always do our very best to help.
​​Yoga classes, courses & workshops

​Class bookings
Thank you for booking yoga classes with Body and Mind Therapy. Here are a few things you should bear in mind.
​
Body and Mind Therapy reserve the right to change our timetable as necessary. Although we will make every effort not to, where unavoidable, this may be at the last minute. In the case that the teacher is unwell, a substitute teacher may be found, or the class may be offered online. Failing this, the class will be cancelled. Where you cannot make the offered online session or if the class is cancelled – a refund will be issued for those who have paid for an individual class. Where a student has used a class pass credit, this will be restored and class pass extended by 1 week.

Please arrive at least 5 minutes before the scheduled start time. We advise that you should arrive 10 minutes before hand as this allows time for you to settle.
​
If you arrive later than this, we reserve the right to offer your place to someone else. If your space is no longer available, you will be unable to attend.
​
You cannot enter the class once it has started unless the teacher agrees and there is space available.
​
In the case where you do not arrive on time, or are late, unfortunately we will not be able to offer a refund.
Any class pass credit used for this booking will be lost and not refunded, nor can the class pass cannot not be extended.

​Course or workshop bookings
Due to the nature by which courses and workshops are planned, the booking and cancellation requirements differ to those of weekly classes.

All courses and workshops must be paid in advance using the booking page on www.bamtherapy.co.uk
Body and Mind Therapy reserves the right to change the dates of a course or workshop as necessary. As with changes to classes, although we will make every effort not to, this may be unavoidable and at the last minute. In the even that you can no longer make the new dates of the course, you will receive a refund.

In the case that the teacher is unwell for any session in a multi-day course or workshop, a substitute teacher may be found; the class may be offered online; or the affected date may be postponed or cancelled. In case you cannot make the new date of a postponed element of a multi-day course, or if part of a course is cancelled by Body and Mind Therapy, you will receive a refund equal to the proportion of the course that is cancelled.

Disclaimer and privacy policy
When you book onto a class, course or workshop you will be asked to acknowledge that you accept Body and Mind Therapy's disclaimer. It is important that you read this disclaimer each time as Body and Mind Therapy reserves the right to change it.

Please also ensure you have read the Privacy Policy featured on the Body and Mind Therapy website, which amongst other things details important bits about how your data is managed.

Cancellations: group classes, courses, and workshops
All bookings for group classes, courses and workshops are to be made via our booking system.
​
You can cancel group yoga classes up to 48 hours before the start time online. If you cancel less than 48 hours before the class start time, no refund can be given. Group classes cannot be cancelled by email.
​
​All yoga bookings made less that 48 hours before a class will be non-refundable if cancelled by you.
​
Yoga courses and workshops can be cancelled through the website booking system, and refunded if cancellation occurs 21 days or more before the start date. Cancellations with less notice that 21 days of the course or workshop start date cannot be refunded.
​
Cancellations: individual yoga sessions
If your individual yoga session is cancelled by you within 48 hours of the planned start time, then 100% of the total cost will be payable and a refund cannot be issued.
If you cancel an individual yoga session less than 7 days prior to the appointment, then 50% of the total cost will be payable.
​
Cancellations made more than 7 days prior to the appointment will be fully refundable and will not incur any charge.
Class passes
Class passes are valid for a fixed length of time from when they are purchased. The length of time is stated on each pass type.
​
All passes and credits are to be used by the purchaser only, they cannot be shared.
​
Class passes cannot be extended, except where a teacher has been unwell as highlighted in class bookings section of these terms.
​
Class passes must be purchased through the Body and Mind Therapy website’s online booking system and must also be used and managed through the same online booking system.
​
Individual psychological therapy
The following sections provide additional terms for those undertaking individual psychological therapy through Body and Mind Therapy online or in person.

In addition to group classes, workshops and courses integrating yoga and therapy, Body and Mind Therapy also offers individual psychological therapy with Dr Kayleigh Darch, a Clinical Psychologist registered with the Health and Care Professions Council (HCPC).
​

What do we expect from you
It is expected that you will be truthful and work in the best interests of the agreement between the you and the psychologist, Kayleigh. As the client, you agree to provide Kayleigh with all pre-session written work such as the consent form and questionnaires (if applicable) as appropriate within the requested timeframe: where not stated this will be 48 hours prior to the booked session.

What should you expect from us
We will provide you with realistic expectations of what can be achieved with our input. Usually following an initial consultation, you will be provided with clear costings for any services we recommend.
​
We work within the HCPC Standards of conduct, performance and ethics. Details of how this relates to what you can expect from us are found in our confidentiality policy.
​

Initial consultation
Prior to any psychological intervention or therapy, you will have an initial consultation and assessment meeting to explore the problems you are facing and discuss the suitability of psychological therapy. The initial discussion lasts for an hour to an hour and a half and provides an opportunity for concerns, information, and expectations to be shared with us. The initial discussion also includes the time for reviewing previous reports, creating an action plan and email correspondence.

There is a flat fee for the initial consultation. This will be communicated with you directly or via information on our website. The initial consultation will need to be paid for in advance.
Quotations
Following the initial consultation, we will send you a quotation via email. The quotation will itemise the costings for the services we will provide (if applicable, e.g., for therapy contracts). Work will not be started until this quote has been accepted.
Payment
For individuals requesting our services, payment is made at the time of booking for initial discussions, assessments, and reports. Advanced payment is necessary for the first appointment and preferred for any future sessions to secure your provisional booking. You will be offered several methods to make payment.
For the first appointment, payment is required in advance to confirm your appointment.

Ongoing services, such as psychological interventions, will be charged on a session-by-session basis (with payment due at the time of each session). Following your first appointment, for any future therapy sessions, payment is due within 24 hours of the booking (e.g., 24 hours before the planned start time, on the day of your session, or within 24 hours after the session start time).
​
We reserve the right to charge interest on all overdue debts. The interest we will charge is 5% plus the Bank of England base rate.
Invoices
We issue invoices electronically. Our payment terms are upon receipt of invoice. We’re sure you understand how important it is as a small business that you pay the invoices that we send you promptly. Payment upon receipt of invoice for a session also allows further therapy sessions to continue.
Cancellation and lateness
If a session is cancelled by you within 48 hours of the planned start time, then 100% of the total cost will be payable and a refund cannot be issued.
If you cancel a session less than 7 days prior to the appointment, then 50% of the total cost will be payable.

​
Sessions are booked at pre-agreed dates and times, with a defined duration of 50 minutes. As the client, you are responsible for attending any session on time. Any late arrival for a therapy session will not be refundable, and no extension to that session can be offered. Due to the fact this is a small business, this includes emergency or unforeseen circumstances out of your immediate control.

Reviews and ending therapy
Kayleigh will review the need for ongoing sessions with you, as appropriate through any ongoing therapy.
​
You are not tied into any long-term commitment and you may end sessions by giving seven-days’ notice to Kayleigh. Note that an ending session to close therapy is recommended, and a number of sessions may be advised for this depending on the length of treatment.
​
If Kayleigh considers your needs are beyond the limits of her competence, she reserves the right to terminate the therapeutic contract. Kayleigh will discuss this you in the session and further recommendations, if possible, may be provided.
​
If Kayleigh decides to end the therapeutic agreement with you due to unforeseen circumstances, she reserves the right not to disclose the reason for this decision.
​
Outcomes
It is not the responsibility of the Kayleigh as the psychologist to achieve the desired outcome for you as the client. The desired outcome as an achievement of the goal(s) cannot be guaranteed or promised. It would be unethical to provide a guarantee for any client's treatment of therapy.
​
If you are not satisfied with the therapy’s outcome, there is no refund. Body and Mind Therapy and Kayleigh Darch do not accept any liability in relation to the therapy and modalities used in session.
​
Reports
We charge for reports. Where we agree to complete a report, the price of each report will differ and will be agreed with you in advance.
​
Reports are based on a professional opinion. It is not possible to change this professional opinions within a piece of work, and as such reports will not be amendable or refundable.
Sharing of information
Details of how we might use your information including sharing information is outlined in our privacy and confidentiality policies.
Complaints
We aim to always provide a positive service.
We acknowledge that there may be times when someone is unhappy with the service that they have received. We are happy to deal with any complaints in person or on the phone at the first instance. If the complaint cannot be resolved satisfactorily then it can be raised in writing by email.
